Overview
The National HIV/AIDS Symposium 2023 by UGANDA AIDS COMMISSION was a 3-day corporate event that took place at the Millennium Park Grounds Lugogo from 14-16th November 2023.
The ETROCA team had the responsibility to plan, organize, and execute the overall second edition of the symposium within a limited time which we successfully did irrespective of the challenges like weather disruptions, last minute venue adjustments among others. Among the activities undertaken were stakeholder engagement, which required us to rally civil society organizations, and development partners to attend and also buy exhibition space during the event.
We were also tasked to source, manage, and supervise different service providers including tent, decoration, cleaning, mobile toilets, audio-visual production, branding, digital streaming, photography, and videography.
Our team of dedicated and passionate personnel on-boarded exhibitors who paid for space, carried out venue visits, drew floor plans to give a 3D impression of the event prior, and engaged and contracted service providers to offer not only good rates but better quality leading to a successful execution with reduced costs and excellent audio-visual output as our highly delivered services.
As an ETROCA culture, we delivered an execution report, and held meetings with the client to capture any gaps in case of any, making us even more geared towards the next edition come 2024.
